How do I get airline tickets from Amadeus or Galileo into the agency's accounts without typing them again?
The short answer

Stop moving tickets by hand. In Intagya ERP you add Booking systems to the travel app, then upload the ticket sales report as it comes out of Amadeus or Galileo, or link the agency's Travelport account and fetch the tickets of any booking reference. Each ticket is recorded with its number, booking reference, passenger, fare, taxes and commission, with the customer invoice, and never twice however often the file arrives.

A booking agent issues two tickets for a family flying to Jeddah, prints the receipt and hands it over. At the end of the week the accountant sits with a pile of receipts and types every ticket again: the number, the fare, the taxes, the commission. Then he finds that a third ticket was voided and nobody told him.

One ticket, written twice, and one of the two is wrong.

Why does retyping tickets cost time and money?

Because the booking system and the accounts do not know each other. Every figure passes through someone's hands before it reaches the books, and every pair of hands adds a chance of error: a missing digit, a forgotten commission, a voided ticket whose invoice is still open.

In my view the problem is not the accountant's care. The figure already sits in your booking system, and it is still written from scratch.

Can I upload the sales report as it is?

Yes. Export the ticket sales report from the booking system as CSV or Excel and upload it from Import tickets. Column titles can be Arabic or English, and the system reads what it finds: ticket number, booking reference, passenger, airline, dates, route, fare, taxes, commission and status.

Only the ticket number is required. When the total is missing it is worked out from fare and taxes, and when the net is missing it is the total minus the commission.

The import result: how many tickets were recorded, how many arrived before, and which line could not be read and why.

You see the result right after the upload. A line that cannot be read, such as a short ticket number, is named with its line and reason, and the rest of the file goes on.

What if I upload the same file twice?

Nothing happens. Each ticket is known by its number, so a recorded ticket is not recorded again and gets no second invoice. Staff can upload the whole week's report every day without worrying about duplicates.

Make the upload a daily habit at closing time, and the accounts are never more than a day behind.

How is the customer invoice issued with the ticket?

On the connection you set the service fee the agency adds to each ticket and turn on Invoice the customer on issue. Each ticket then gets a draft invoice for the ticket total plus the fee, and the accountant reviews it before posting.

When a company account books with you all the time, put it in Default customer, so its staff's tickets go to that account instead of each traveller becoming a customer.

What happens to a voided or refunded ticket?

When the report says a ticket was voided or refunded, its status changes in the system. If its invoice is still a draft it is cancelled by itself. If it is posted the system leaves it alone and sends the responsible person a task to issue a credit note. The money decision stays with a person.

Is there a live link with Galileo instead of the file?

Yes, for agencies that work on Travelport. Every agency has its own Travelport account and enters its details on the connection: client ID, client secret, user name, password and PCC. Then it presses Fetch from the booking system and writes the booking reference, and all its tickets arrive the same way.

The Galileo connection: the agency's Travelport account details and the fetch button by booking reference.

For Amadeus the road today is the sales report file, or any middle system that sends tickets to the connection's push address.

Start tomorrow with one step: export yesterday's sales report from the booking system, upload it, and compare the count with the accountant's. In a few minutes you will know how many tickets were about to be written twice.

FAQ

Do I need my own Travelport subscription?

Yes. Every agency has its own Travelport account and enters its details on the connection, and only a system administrator sees them.

Does it read Excel files?

Yes, CSV or Excel, with Arabic or English column titles.

Is an invoice issued for every ticket automatically?

When Invoice the customer on issue is on, each ticket gets a draft invoice; otherwise you issue it from the ticket.

Where do I see what came from the booking system?

In Activity: every ticket that arrived, from where, what the system did with it, and what needs a decision.
